  • Introductions
  • Barton reported on his experience and the history of the McMinnville Band Program:  9 years Band director at MHS, Built the program from nothing to a competitive program, When the program started the program needed Band Parent Organization, equipment, and money that didn’t exist.
  • We need Parent support to move equipment, feed kids, build props, repair props and many other tasks. Without parents this program does not exist.
  • -There will be four large props that join into two plus multiple Big drums, vinyl walkway,
  • stage, microphones, front ensemble that we will need help moving onto the field at
  • -The band will tell a story to the audience, emotionally, musically and we need help.
  • -Four shows:  9/23 at Linfield, 10/7-10/8 at Kamiak High School (Seattle, WA), 10/14-10/15 at Grants Pass, 10/28 Championships at Autzen Stadium 10/28.
  • -Parent Show date to be communicated.
  • -Kamiak Competition:  Kids will be sleeping in an Elementary school gymnasium, we will need chaperones to stay in the gym with the students. At least 4 chaperone’s, please let a board member know if you are willing to be a chaperone for night.

  • Pat expresses thanks to Mr. Barton for all he does, and Mr. Barton pushes the thanks to Mrs. Barton. They both do a lot for our students.
  • -Treasurer’s Report
    • We have $2500 in our bank account. The Bottle drop fund has $8000. Total $10,700 with more coming in. We have paid off the Disney trip. Paid some expenses for fall, more expenses are expected to come in. Car wash $1450 donations, kids raised just over $1000.
  • Committee Reports
    • Bottle Drive – Scott Milam
      • The next Bottle drive is Saturday September 30th at Incahoots.
      • The August Recology pop can collection was a success, still turning in cans.
      • The Bottle Drop in McMinnville is now open.
      • If you need any blue bags, they are available at Incahoots.
    • Fundraising – Andrea Milam
      • McMenamins Dinner Monday 9/25 5pm – close. Band gets 50%, please show up and share information. If you don’t want to eat there, DoorDash or any delivery or takeout counts too. Last time we got about $2100.
    • We are pushing for Corporate sponsorships, and continue looking for more.
    • If you have a contact at a Corporation and don’t want to contact them, give us the contact information and we will make the contact.
    • We have received about $4100 so far, with more committed to come in.
    • Popcorn sales will be coming up in the future.
    • Scripts gift cards, continue to buy year round. Get a percentage of gift cards.
  • Budget – Brian Bailey
    • Nothing to share at this time.
    • About 1⁄3 of our needed money comes from corporate donations, 1⁄3 comes from student fees, and 1⁄3 comes from bottle drop and other fundraisers.
    • Student fees are $250, if you have paid thank you. We need student fees paid as soon as possible, fee payments are an option via website. If a sponsorship is needed, talk to Mr. Barton or go to the website (macband.net).
    • About 40% of the students have paid. If you are not sure Cassidy Weisz can tell you how much you have paid.
    • Students can earn $25 toward the student fee for each bottle drive that they work.
    • Any fundraising that the student participates in can go towards their band fees.
  • Uniforms – Darci Hinthorn
    • Uniforms were fitted on 9/12. Thank you for those that helped out.
    • Your student needs marching band shoes called “Dinkles.” If you have not ordered them, please go onto the website to purchase them.
  • Props – Brian Bailey
    • Working on Props Thursday 9/14 in Sheridan at Tektonics 5pm. Need 1 more person to help, contact Brian Bailey if you are available.
    • Most of the props have been built, and are waiting to be painted..
  • Food – Tegan Johnson
    • Currently planning for the 9/23 Linfield presentation.
    • We will need help serving and cleaning up for Dinner.
    • Overnight trips are being planned, we usually plan for lunch and dinner and snacks.
  • Merchandise – Tonya Hill
    • Every band and guard member should have a chant shirt. More will be here in a couple of weeks. Freshman and New members get one for free. $15 for additional chant shirt
    • We sell $15 hats, $35 hoodies, and $20shirts.
    • Looking into sweatpants for $45ish.
    • If you want any merchandise there is an order sheet available, need 36 minimum total.
  • Travel – Troy Blair
    • Kamiak hotel options. LaQuinta $144.77 for a king or double queen. Quality Inn $112.36. South Everett exit. (Looking at possible discounts if we organize a block of rooms.
    • Grants Pass band is staying at Red Lion. $120 per room.
  • Linfield Competition 9/23
    • A volunteer sign-up sheet will be coming in the next via email. Sign up on or before
    • Wednesday 9/20 for a free wristband.
    • We will need 5 people for set-up, 5 people to take down tents, 5 people to load trailers at the end, 10 people to help bring things onto the field., 5 people set up dinner, serving, 5 people help clean up dinner.
    • If you did not sign up before Wednesday 9/20, check the volunteer sign-up sheet. We may still need help, however you will have to purchase your wristband. Usually $15 each.
    • We would like to get as much help as possible. –
  • Kamiak Competition 10/7-10/8
    • Students will meet at the band room early Saturday morning and ride a bus to Kamiak, WA.
    • They will sleep in an elementary gymnasium on the floor Saturday night. – Sunday Morning
    • Choice 1: Get up and go home at no extra cost.
    • Choice 2: Take the kids to an adventure about $25-30 per kid before we go home. Possible rock museum,
    • Parents showed concerns about kids wanting to just come home and wanted kids to have a vote.
  • Grants Pass Competition 10/14-10/15
    • Students will meet at the band room Saturday morning, load buses and drive down to Grants Pass.
    • They will stay the night at a Red LIon in Grants Pass. The students will need to pay $25 for a hotel room per kid. Also they like to go to WinCo foods afterwards, spending money would be nice to have for the students.
    • Volunteers need to put a background check for adults through the school. Instructions on the website.
  • Good of the order.
    • Band shoes (Men’s 8 womens 10) and Men’s 10 are available.
    • Two band trailers mac 1 (red) and mac too (black). We have 1 driver, and need one more truck and driver, if you have a truck and are willing to pull a trailer your hotel cost will be covered, and mileage will be reimbursed.
    • Email Cassidy Weisz if you need to know how much of your student fees have been paid, as well as if you need to turn in permission slips and contracts.
